Events Assistant

As Events Assistant, you will work closely with the Head of Events and Senior Events Manager to ensure the smooth running of the Event Department and provide a high quality of service to all existing and potential members and clients.

You will be also efficiently and effectively co-ordinate the administrative and coordination functions of the Events Department.

Events Administration:

  • Manage email enquiries in a prompt and professional manner by looking after the events inbox and distributing enquiries amongst the events team
  • Ensure all event emails are responded to with priority and in accordance with departmental standards
  • Be key point of contact for telephone calls and queries: handle events’ calls in a polite and professional manner, according to the Conduit standards
  • Support the overall administration of on-going projects; this entails sending out emails, organising meetings, including sending out invites, assisting with follow-ups after meetings and assisting in tracking the progress of the projects
  • Assist in delivering events reporting/BEOs/Bi-Weekly/Briefing sheet
  • Assist with the daily processes for events: menu/signage printing/updating events documents/communicating changes to respective teams
  • Ensure communication board is updated with revenue figures and pick up figures when required
  • Assist in maintaining an extensive database and keep a detailed and accurate guest history of all relevant details
  • Ensure the availability of office stationery
  • Manage invoicing and payments, liaising closely with the Finance Department
  • Assist in the efficient day-to-day running of the Events Department
  • Be prepared to meet and greet clients on arrival before handing them over to their relevant operational managers
  • Build strong working relationships with our Membership Team and Operation Team
  • Focus events business on ensuring the department and all events align with the Conduit’s ethos around sustainability and positive social change
  • Accept any reasonable duties given to you from time to time by the senior team
  • Be an Ambassador of the Conduit – spokesperson, advocate and supporter

Event Sales:

  • Manage and convert Meeting and Private Dining events, achieving targets for sales growth and revenue
  • Consistently achieve a high level of customer satisfaction by exhibiting a positive attitude and building trust, ensuring commitments are met and expectations are exceeded by understanding client’s needs and priorities
  • Coordinate and follow-up with other departments to ensure delivery of excellent guest service
  • Conduct internal client meetings and site visits
  • Develop and maintain relationships with partners and suppliers
  • Assist in organising networking events and FAM trips along with the Events Team to maximise business opportunities
  • Attend trade shows, community events and industry meetings when requested
  • Develop/maintain knowledge of market trends, competition and customers
  • Propose up-selling and cross selling opportunities for the department
  • Assist in team brainstorms for strategies and ideas to increase event sales
  • Assist in hosting planning meetings on site, hosting food tastings, arranging event rehearsals with respective key managers from your team
  • Handle quotations from external suppliers

Knowledge/Skills/Experience:

  • 1-2 years of relevant work experience in similar or related position
  • Preferably degree level education in Hotel Management
  • Excellent written and oral communication
  • Strong interpersonal skills and strong ability to work within a team
  • Excellent organisational skills
  • Strong attention to detail
  • Proficient with Microsoft Office
  • Experience with different CRM systems preferable
  • Background in hospitality or office management
  • Background – either professionally or personally – in the social impact world
